By registering and attending GeoNashville 2021, each person acknowledges and agrees to the following restrictions as the criteria of being accepted to attend.
Cancellations and Refunds
If you cancel on or before Friday, August 6th, 2021 at 11:59 p.m. Central Time, you are eligible for a full refund; however, you will incur a cancellation fee of 10% of your total registration fees. Cancellation notifications must be emailed to Show Management at events@ifai.com before this time. Substitutions from the same company will be accepted in writing without penalty.
Upon proper cancellation, the full registration fee will be refunded, less the cancellation fee of 10% of your total registration fees, to the card associated with the original transaction.
If you cancel after Friday, August 6th, 2021, you are eligible for a 50% refund; however, you will incur a cancellation fee of 20% of your total registration fees. Cancellation notifications must be emailed to Show Management at events@ifai.com before this time. Substitutions from the same company will be accepted in writing without penalty.
No refunds of any kind will be made for cancellations received after October 1st, 2021 at 11:59 p.m. Central Time. No refunds will be given for “no-shows”, late arrivals, early departures, and/or anyone who fails to notify us by the cut-off date using the method listed above. If IFAI cancels this event for any reason, you are eligible to receive a full refund, less processing fees.
Substitutions, Transfers and Additions
You may transfer your registration to another eligible party if you are unable to attend. Registration transfers must be made via email to events@ifai.com. You may not however, “share” your badge or registration with someone else.
You may add additional registration items on a space-available basis. Additions may be made via email to Events@IFAI.com. You will be charged any additional registration fees at the time of the addition.
Travel and Hotel
GeoNashville attendees and exhibitors are responsible for securing their own travel and hotel accommodations and making payment for such. Cancellation of hotel reservations and/or any travel expenses incurred are the sole responsibility of each participant. GeoNashville does not make any guarantees or in any way warrant the conference hotel, accommodations, or transportation.
Please remember that canceling, transferring or adjusting your registration does not automatically cancel/adjust your hotel and travel arrangements. Participants are responsible for managing their own travel accommodations.
IFAI has negotiated group rates for you and your guests. Staying in IFAI group hotels helps us keep your registration fees low! Book today, rooms are limited! Beware of housing poachers! ConferenceDirect is the ONLY authorized housing agency for IFAI Expo hotel rooms. Use only the links provided on GeoNashville’s housing and travel webpage. Any other companies claiming to represent IFAI or ConferenceDirect are misrepresenting themselves and should not be trusted.
Photography, Audio and Video Recording
IFAI has a long-standing tradition of photography at events for use in the marketing of future events as well as for publishing in our trade magazines for informational and educational purposes. It’s possible that by attending GeoNashville, your image and/or voice might be captured during the normal course of such photography.
Anti-Trust Compliance
It is the policy of GeoNashville and IFAI to comply fully with the antitrust laws. In order to comply with those laws and to prevent this event from being used for unauthorized activities you agree to follow our Compliance Program Concerning Federal Antitrust Laws by registering for this event. These policies will be strictly followed throughout this event in order to protect all registrations, GeoNashville, and IFAI. IFAI staff has periodically been briefed on the antitrust laws by IFAI counsel. If, during the course of this event a staff member requests a registrant cease and desist any discussion because of a potential risk, you are asked to cease such discussion immediately and follow the instructions of the IFAI staff person. Solicitation
Suitcasing is strictly prohibited at GeoNashville. We reserve the right to escort any individual from GeoNashville that are reported to be soliciting at the event and are not an event sponsor or exhibitor. We encourage attendees to support the paid sponsors and exhibitors who, in turn, are supporting the industry.
Admittance and Removal
In IFAI’s sole discretion, without refund, we reserve the right to refuse admittance to or expel from the event anyone that we determine is behaving in a manner that could be disruptive to the event or any other attendee.
Views Expressed
The views expressed by any GeoNashville attendee, speaker, exhibitor or sponsor are not necessarily those of GeoNashville, IFAI or its representatives. All event attendees, speakers, exhibitors and sponsors are solely responsible for the content of any and all individual or corporation presentations, marketing collateral, advertising and online Web content.
Cancellation of Event and/or Education
GeoNashville organizers may at any time, with or without giving notice, in their absolute discretion and without giving any reason, cancel or postpone the conference, change its venue or any of the other published particulars, or withdraw any invitation to attend. In any case, neither the organizers nor any of their officers, employees, agents, members or representatives shall be liable for any loss, liability, damage or expense suffered or incurred by any person.
Although every reasonable effort is made to provide the speakers, topics, and sessions listed, some changes or substitutions may occur. Speakers and sessions are subject to cancellation or change up to and including the day the session(s) are scheduled to be held. Changes or cancellations are made at the discretion of IFAI and may be done without notifying attendees. If sessions are changed or canceled no refunds should be expected. Agreement to attend the GeoNashville acknowledges acceptance of this provision.
Code of Conduct
IFAI is committed to providing a safe, productive, and welcoming environment for all meeting participants and IFAI staff. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, IFAI staff members, service providers, and all others are expected to abide by this Code of Conduct. This Policy applies to all IFAI meeting-related events, including those sponsored by organizations other than IFAI but held in conjunction with IFAI events, on public or private platforms.
Expected Behavior:
- Be considerate of others
- Be respectful of others and viewpoints that may be different from your own
- Be mindful of your words and actions
Unacceptable Behavior:
- Harassment, intimidation, or discrimination in any form.
- Verbal abuse of any attendee, speaker, volunteer, exhibitor, IFAI staff member, service provider, or other meeting guest.
- Examples of verbal abuse include, but are not limited to, verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, IFAI staff member, service provider, or other meeting guest.
- Disruption of presentations during sessions, in the exhibit hall, or at other events organized by IFAI throughout the virtual meeting. All participants must comply with the instructions of the moderator and any IFAI virtual event staff.
- Presentations, postings, and messages should not contain promotional materials, special offers, job offers, product announcements, or solicitation for services unless expressly approved by IFAI. IFAI reserves the right to remove such messages and potentially ban sources of those solicitations. IFAI reserves the right to deny or revoke admission to anyone who engages in or is reputed to engage in unethical or non-compliant marketing practices.
- Participants may not copy, record, or broadcast IFAI event content. This includes, but is not limited to, content shared via sessions, exhibitors, Q&A, chat room activity, or personal contact details without permission.
Consequences of Unacceptable Behavior
IFAI reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and IFAI reserves the right to prohibit attendance at any future meeting, virtually or in person.
Reporting Behavior
IFAI has zero-tolerance for any form of discrimination, harassment or other behavior deemed unacceptable. If you experience harassment or hear of any incidents of unacceptable behavior, IFAI asks that you inform Events@IFAI.com so that we can take the appropriate action.
Recording/Live-Streaming of Sessions/ Pictures
GeoNashville does not allow the photographing, recording, or livestreaming of any session or events unless express permission is given by the speaker, facilitator, or event organizer. No booth on the show floor may be photographed, recorded, or livestreamed in any way whatsoever for personal or commercial use. This rule is to protect the intellectual property of our speakers, facilitators, and exhibitors. Anyone found to be in violation of this rule will be removed from the event without refund.
Liability Waiver & Release / COVID-19 Health Information
By registering for GeoNashville 2021, you assume all risks and accept sole responsibility for any injury (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that you may experience or incur in connection with attending GeoNashville 2021. Attendee hereby releases, covenants not to sue, discharges, and holds harmless IFAI, its employees, agents, and representatives, of and from any such claims, including all liabilities, claims, actions, damages, costs, or expenses of any kind arising out of or relating thereto.
Specifically relating to the global COVID-19 pandemic, attendee acknowledges the highly contagious nature of COVID-19 and voluntarily assumes the risk of exposure or infection by attending GeoNashville 2021, and that such exposure or infection may result in personal injury, illness, disability, and/or death to attendee. Attendee understands that the risk of becoming exposed to or infected by COVID-19 at GeoNashville 2021 may result from the actions, omissions, or negligence of others who may attend the event or their families, colleagues, or others with whom they may have contact. Accordingly, attendee understands and agrees that this release includes any claims based on the actions, omissions, or negligence of IFAI, its employees, agents, and representatives, whether a COVID-19 infection occurs before, during, or after participation in the GeoNashville 2021.
In addition to all other rules and regulations relating to the attendee’s attendance at GeoNashville 2021, attendee agrees to comply with all COVID-related procedures that may be implemented by IFAI and Music City Center, including, but not limited to, mask-wearing and social distancing requirements and restrictions on certain activities that carry higher COVID-related risk, in order to protect as much as possible the health and safety of all attendees.
